What are staff cards in Monotree?

Staff cards are cards in the Monotree app that replace the plastic and paper cards employees carry around: the staff discount at the bar, a voucher in the store, a staff ID at the hotel. A card has your logo, a title, an optional QR code and an optional expiry date, with text, pictures or documents below it. Use one for a staff discount, a meal voucher, a parking permit or a partner offer, and give it to everyone, to some departments or to named employees.

A personal card belongs to one employee and carries their own QR code, such as a staff ID with their employee number or a business card. Cards for the whole company can be created from a spreadsheet, or created and updated by your own systems through the Open API.

Set up once, always in the app

  1. Make the card

    Give the card a title, a QR code, an expiry date and a text that explains how to use it.

  2. Choose who gets it

    Target departments, professions, custom groups or named employees, or give each employee their own personal card.

  3. It shows up in the app

    Cards appear under My cards on the employee's profile, with a notification that a new card has been added.

Questions about staff cards

  1. What can a staff card be used for?

    Anything employees would otherwise carry as a card or a piece of paper: a staff ID, a staff discount, a meal or drinks voucher, a parking permit, a gym or partner offer, or a digital business card.

  2. How do the QR codes get on the cards?

    For a shared card, such as a discount code, you upload the code as an image. For a personal card, you enter the value, such as an employee number or a link to a business card, and Monotree creates the QR code. You can also upload a barcode image instead of a QR code.

  3. Can we give every employee a personal card at once?

    Yes. Send Monotree a spreadsheet with each employee's email or name and the value for their QR code, and we create the cards. Your own systems can also create and update personal cards through the Open API.

  4. Can a coupon be used only once?

    Monotree does not record when a card is used at the till. A card is valid until it expires or you remove it, so give one-time vouchers a short expiry date or remove the card afterwards.

  5. Where do employees find their cards?

    Cards are on the employee's own profile under My cards. With many cards, View all opens a list they can search.

  6. Who can create staff cards?

    Administrators and editors create staff cards, and department editors can give cards to employees in their own departments.

  7. Do we pay extra for staff cards?

    No. Monotree has one price per user, and it covers every feature including staff cards, along with AI, integrations, personal onboarding and live chat support. There are no modules or add-ons.

  8. Can employees use staff cards on both iPhone and Android?

    Yes. Your employees use Monotree as your own branded app on iPhone and Android, and administrators manage content and settings in a web-based CMS.
