What are certificates in Monotree?

Included in every Monotree plan, with no add-ons

A certificate in Monotree is proof that an employee has the training a job requires, such as food safety and responsible alcohol service in hospitality, first aid, or forklift driving in logistics. Each certificate has a category, a description and, if it has to be renewed, a validity period in months.

Most certificates are linked to one of your courses. When an employee completes the course, the certificate appears on their profile with its expiry date. Before it expires, the course opens again and the employee is reminded to retake it. Certificates people already have from outside Monotree can be added by hand.

Admins follow every certificate in the academy statistics, and department managers see expired certificates in the Manager Hub. Your AI assistant can list the certificates that are about to expire through the MCP server.

  1. Create the certificate

    Give it a title, a category and a validity period, and link the course that earns it.

  2. Employees earn it

    They complete the course in the app and the certificate appears on their profile. Certificates they already have are added by an admin or their manager.

  3. Renew before it expires

    The course opens again ahead of the expiry date, the employee gets reminders, and their manager sees it if it expires anyway.

Every Monotree feature runs on the same groups, translations, notifications and security, so you set things up once and it works everywhere.

Questions about certificates

  1. Does a certificate have to be linked to a course?

    No. A certificate can also be given to employees by hand. Reminders and renewal run through the linked course, so link one if the certificate has to be renewed.

  2. What happens when a certificate is about to expire?

    A set number of days before the expiry date, 14 or more, the linked course opens again for the employee. They get a push notification 7 days and 1 day before expiry, and one when it has expired. When they complete the course again, they get a new certificate, and the earlier ones are kept in their history.

  3. Can we add certificates employees already have?

    Yes. An admin or manager gives the certificate to the employee with the date it was earned, and the expiry date is worked out from the validity period. For a long list, Monotree can import it from a spreadsheet.

  4. Who can see an employee's certificates?

    The employee, the managers and editors of their department, and your admins. Colleagues do not see each other's certificates.

  5. Can we print a certificate?

    Yes. From the certificate statistics in the CMS, you can download an employee's certificate as a PDF with the employee's name, the dates and your accreditation stamps. For courses from a training partner, the partner's logo is added.

  6. Can we remind everyone with an expired certificate at once?

    Yes. From the statistics of a certificate in the CMS, an admin can remind all employees whose certificate has expired, or pick a few. The course opens again for them and they get a push notification.

  7. Can we get certificate data into other systems?

    Yes. Holders of each certificate can be exported to a spreadsheet, and certificates can be read and assigned through the Open API. Your AI assistant can ask which certificates expire soon through the MCP server.

  8. Do we pay extra for certificates?

    No. Monotree has one price per user, and it covers every feature including certificates, along with AI, integrations, personal onboarding and live chat support. There are no modules or add-ons.

  9. Can employees use certificates on both iPhone and Android?

    Yes. Your employees use Monotree as your own branded app on iPhone and Android, and administrators manage content and settings in a web-based CMS.
