The Italian restaurant group from Oslo uses one app for handbooks, onboarding, to-do lists and shift chats, and to fill management jobs from its own ranks.
Olivia Restauranter is a group of Italian restaurants that started in Norway. The first Olivia opened at Aker Brygge in Oslo in 2006. The founders, Anne Koppang, Gry Holm and Kristin Gjelseth, are known in the company as "the three ladies". They wanted an Italian in the family, ideally an aunt Olivia from Piedmont. The ambition, from the first restaurant, has been to serve the best pizza outside Italy.
Olivia has since opened restaurants in Norway, Sweden and Finland. In Norway they are in Oslo, Trondheim, Bergen, Stavanger, Lillestrøm, Bodø and Sandnes, and each takes its theme from an Italian city, such as Napoli, Venezia or Firenze. Olivia Eger in Oslo seats almost 500 guests inside, and Olivia Vågen in Sandnes is the largest so far. The group also runs Pronto, a quick-service concept for people on the go.
Culture is what Olivia is proudest of. More than 50 nationalities work there, and over 90 percent of the managers worked their way up inside the company, which hands leadership to young people early and puts on the courses to back it up.
Two platforms were merged into one app, and PDF documents gave way to content that is always live.

Management openings are posted in the app, which helps Olivia promote from within.
For Peter Dyb, training and learning coordinator, the move to Monotree was easy. Olivia had two different platforms and merged them into one.
Information used to sit in several places, and old documents lay in one folder or another. HR advisor Kathrine Haugstulen is especially glad to be rid of the PDFs. Now everything is gathered in one place, the content is live, and an update goes out in seconds.
Olivia has connected several systems into one, in its own app, and is proud of it.
Everything is consolidated, but I have an extra love for eliminating everything in PDF format. Old documents lying around in some folder, it's absolutely fantastic to be able to gather everything and know that it's live and that you can get an update in a second, that's the best.
Olivia uses Monotree for more or less everything it needs in a working day: handbooks, onboarding programs, the shift schedule and the chat. The handbooks can be searched, and to-do lists hold the routines, so that staff can make sure everything has been done.
The chat brings people closer. Anyone on a shift can start a chat with everyone else on that shift, and there are group chats and direct messages between individuals.
News and events go out in the app too. When the film was made, a staff party was coming up the following week. Posting it as an event puts all the information in one place and shows who is coming and who is not.
The transition to Monotree for us has been very easy. We have merged two different platforms into one.
Olivia is a workplace marked by togetherness, friendship and joy in the work. In his first days of training, Peter Dyb smashed a big tray. Three colleagues came at once to help sweep up, and that was when it felt like a team. For students on the staff it is a break from studying: they come straight from their studies and call it their free time, not a job. Staff trust and respect each other, have fun together and cry together.
Olivia wants to invest in its own people and build its managers from the waiting staff, or even from the dish station, upward. The app helps here. Management positions are advertised often, and it is easy to post an opening and invite people to apply. Maja Skalska started as a waiter at Østbanehallen four years before the film and is now operations manager at Olivia Tjuvholmen.

What might have been a challenge in the past was the fact that you always need to have someone's phone number in order to get in touch with them directly. Here it's great that there's a chat function, so you can tie it all to work. And when you're not at work, you can just put it down.
After we had agreed to partner with Monotree, it became an element of how are we going to move this forward now from contract sign to being something in our team members' hands. And that was a really smooth process, probably the easiest implementation I have done in years because it was all hands-on.
