What syncs from Smartplan to Monotree

Smartplan and Monotree integration

The integration reads the members of your Smartplan account every 15 minutes. Active members with an email address become Monotree users with their name and phone number, and every job type they hold comes along. Shifts come over too, but only once they are allocated to someone, so a shift nobody has been given yet stays out of the app.

You go on building rotas in Smartplan. In Monotree, job types are what place people in groups: link a Profession group to a job type and its members follow as job types change. Locations are not used for membership. Allocated shifts appear in each person's own calendar, and anyone who stops being active leaves Monotree once any grace period you set has run out.

Questions about the Smartplan integration

  1. Which Smartplan groupings can we use?

    Job types. Link each Monotree group to one or more job types, and people follow as their job types change. Locations are not used to place people in groups.

  2. Do unallocated shifts show up in Monotree?

    No. A shift comes over once it is allocated to someone, from 14 days back to 30 days ahead by default, and up to 60 days each way.

  3. Does Smartplan send a hire date?

    No. Monotree gets name, email, phone and job types only. Hours, pay and everything else stay in Smartplan.

  4. Why hasn't a new member come over?

    They need to be marked active and have an email address in Smartplan. Once both are in place, they arrive at the next sync.

  5. What happens when a member stops being active?

    They are removed at the next sync. With a grace period set in Monotree, they keep access for that many hours first.

  6. Does the Smartplan integration cost extra?

    No. It is included in every Monotree plan.

  7. Can we add people who are not in Smartplan?

    Yes. Add people like head office staff in Monotree directly. The sync only changes the employees it brought in.
